How Many Properties Should a Property Manager Look After?

If you’re a landlord comparing property managers in New Zealand, you’ve probably asked some version of this question: how many properties does each property manager actually look after?

It’s a fair question. You want to know whether your property manager has the time and capacity to look after your investment properly. But at Kōwhai Coast Property Management, we’d argue this is the wrong question to lead with — the number alone doesn’t tell you what you actually need to know.

Is there an ideal number of properties per property manager?

Ask around the industry and you’ll hear all sorts of rules of thumb. Some say things start to slip once a portfolio passes 100 properties. Others reckon 70 to 80 is the sweet spot. Meanwhile, plenty of property managers are confidently and successfully managing 150 or more.

So which figure is right? Honestly, there isn’t one universal number. A property manager handling 150 properties can do an excellent job if they’re organised, responsive, and on top of their inbox every day. Another with only 80 properties can still be falling behind if emails pile up, tenants wait days for replies, and maintenance jobs sit unactioned.

Portfolio size on its own is just a number. It tells you nothing about whether your property is actually being looked after.

What matters more than the number

Rather than asking how many properties a property manager looks after, the better question is: how quickly do they respond, and how proactive are they with the day-to-day running of your property?

This isn’t about how many staff sit behind a property manager or how big the company is. A one-person operation can be just as responsive as a large team, if the right habits and systems are in place. What actually matters is how fast emails and calls get answered, whether the inbox is up to date or backlogged, how quickly maintenance requests get actioned rather than just logged, how promptly inspections are booked and reported on, and whether vacancies are filled quickly.

A property manager could claim to successfully manage 150 properties, but if the inbox is backlogged and maintenance is dragging on, that’s the real problem — regardless of the number on paper. On the flip side, a property manager with 200 properties who replies within hours, stays on top of maintenance, and keeps every landlord informed is doing a far better job than someone managing 80 properties poorly.

The bottom line

So, how many properties should a property manager look after? The number itself matters far less than how responsive and proactive that property manager is. A property manager could be looking after 60 properties and still be falling behind. Another could be managing 200 and delivering an excellent service, because they reply quickly, stay on top of maintenance, and never let things slide — sometimes by outsourcing admin tasks or bringing in letting agents and support staff.
